Can members sync the club calendar to their phone?
What the big club software platforms say about getting events onto members' phones, and how to test a calendar link before members get it.

The short answer
They can if your club software gives them a calendar link to subscribe to, or if a separate service puts the club's events into their Google or Outlook calendar. An “Add to calendar” button on a single event saves a copy, and a later change to that event never reaches it. Clubessential's help pages describe an Add to Calendar option on each event in its member app, and we found no public page from Clubessential, Jonas or Northstar that describes a subscription feed. Ask your vendor what they offer, and test any link on your own phone before you announce it.
What can “sync” mean for a club calendar?
Vendors and members use the word for different things. When a sales sheet says members can sync events to their phone, ask which of these it means.
| What the member does | What ends up on the phone | When you move or cancel an event |
|---|---|---|
| Opens the club app | The event list inside the app | They see the change next time they open the app |
| Taps “Add to calendar” on one event | A copy of that event in their own calendar | Their copy keeps the old time. Microsoft calls an imported calendar file a snapshot |
| Subscribes to a calendar link | The club calendar, as a read-only calendar of its own | The change shows when their calendar app next checks the link |
| Connects their Google or Outlook account to a service that writes events in | Events in their own calendar | Their copy changes within moments |
What do the big club platforms say?
We read the public product and help pages of three platforms in October 2026, looking for a calendar link members could subscribe to. Here is what each says in its own words, and what to ask.
| Platform | What its pages say | What to ask |
|---|---|---|
| Clubessential | Its member app guide says that after registering for an event, members can “Select Add to Calendar to add the event to your own personal calendar.” Its tee time guide says members can “link events and tee times to your own personal calendar.” | Does that saved event change when we move it? Is there a link to the whole calendar? |
| Jonas Club Software (ClubHouse Online) | Its event management page says “Members can sync events to their computer or mobile phone calendar so they never miss an important occasion.” Its websites page says appointments “can easily be synced to your member's mobile device calendar.” | Is that sync one event at a time, or a link that picks up our changes? |
| Northstar | Its food and beverage page says an event created in the back office “will flow (on schedule) to the Member Website and Smartphone App for Calendar display and Reservations.” Its FAQ says its how-to guides are in the Northstar support portal. | How do members get club events into Apple, Google or Outlook calendars? |
How does a subscription link work on a phone?
The link points at a calendar file that your software keeps current. The member's calendar app downloads it again from time to time and shows whatever it holds at that moment, so new events appear and cancelled ones drop out. Apple says “You can't edit calendars you are subscribed to”: members can hide one or unsubscribe, and your events stay as you wrote them.
-
iPhone and iPad. Tapping a link that starts with
webcal://opens Apple Calendar, which offers to subscribe. Members can also add the link in the Calendar app under Calendars, Add Calendar, then Add Subscription Calendar. Apple's steps for calendar subscriptions in iCloud have them choose iCloud as the account, which puts the calendar on their other Apple devices too. - Google Calendar, including Android phones. In Google Calendar, a calendar link goes in on a computer, under Other calendars, From URL, and says “You can't subscribe to a calendar in the Google Calendar app for Android, iPhone, or iPad.” AddEvent, which hosts subscription calendars, puts Google's checks for changes at every 12 to 24 hours. Our guide to subscribing on Android covers getting it onto the phone.
- Outlook. Outlook.com and Outlook on the web both have Add calendar, then Subscribe from web. Microsoft estimates every 3 hours for Outlook.com and every 6 for Outlook on the web with a work or school account, and says some changes take more than 24.
The file can carry a suggested refresh interval for apps to follow, and they're free to ignore it. Our guide on why a subscribed calendar isn't updating goes through the delays app by app.
What should you ask your club software vendor?
Ask your account manager these, and ask for a test link while you're at it.
- Is there a link members can subscribe to, or a button on each event? Open the link on a phone. A subscription link makes the calendar app offer to subscribe to a whole calendar.
- Can members subscribe by department? A single feed with every event in it puts tennis clinics on a golfer's phone. Ask for a link per department, or one per member that follows the departments they chose.
- Who can read a members-only event? Ask what someone outside the club sees when a member forwards their link, and whether you can switch that link off.
- What happens on members' phones when an event moves or gets cancelled? Hear the answer, then test it.
- Do events carry the location and the sign-up link? A member looking at the event in their calendar needs a way back to book it.
- Can we export the calendar? A spreadsheet export or a calendar link lets other tools read your schedule without anyone typing it in twice.
How do you test a feed before members get it?
- Subscribe on your own iPhone and in a Google account. Add Outlook if your members use it.
- Create a test event for tomorrow at noon in your club software. Wait until it shows on each, then move it an hour later.
- Write down how long each app took. AddEvent's estimate for Google is 12 to 24 hours, so give it a full day before you call the feed broken.
- Cancel the event and check that it drops off everywhere.
- Send the link to a colleague who isn't a member and see what they can read.
Where TheyCal fits
We make TheyCal, and it reads your club software's calendar from a spreadsheet export or from a calendar link if your software has one. TheyCal checks a calendar link once a day, and a spreadsheet updates when you upload a newer one. Members follow the club once and choose departments, and each department's events go to the members who picked it. Members on Google or Outlook connect that calendar, and we add the club's events to it. When TheyCal picks up a change, it changes or removes the event in their calendar right away, so an edit in your club software reaches them within a day. People on Apple Calendar and other apps get a private calendar link of their own that suggests an hourly refresh, and if that link gets forwarded they can swap it for a new one. Your club software keeps the master calendar and takes the sign-ups.
Common questions
Why is a cancelled event still on a member's phone?
If they saved it with an “Add to calendar” button, that copy stays until they delete it. In a subscribed calendar it drops off at the app's next check, which AddEvent puts at every 12 to 24 hours for Google.
What if our software only offers a button per event?
Use the buttons for one-off events that won't move, and tell members the club app has the latest times. For the full schedule, you can publish a calendar from a separate tool or service that reads your export. Our guide on using a public Google Calendar covers the free option.
